Acceptable Use & AI Safety Policy

Effective Date: September 2026 • Global Responsible AI Guidelines

1. Purpose & Scope

This Acceptable Use Policy defines the standards for utilizing Rixoffice desktop applications, web workspace, API infrastructure, and Rix AI generative services. Our platform is engineered to foster productive, private, and secure document creation. Users agree to abide by these guidelines as a condition of service.

2. Prohibited Activities

You may not use Rixoffice software or generative AI infrastructure to: • Generate or distribute malware, ransomware, spyware, phishing documents, or cyber exploitation tools. • Create, store, or transmit child sexual abuse material (CSAM) or content promoting self-harm, violent extremism, or acts of terrorism. • Engage in unlawful harassment, defamation, hate speech, or non-consensual sharing of private personally identifiable information (doxxing). • Circumvent, reverse-engineer, or attempt unauthorized access to Rixoffice licensing servers, subscription limits, or Cloudflare edge safeguards. • Resell, sub-lease, or redistribute Rixoffice proprietary binaries or APIs without explicit commercial authorization.

3. Responsible AI Document Creation

When utilizing Rix AI within RixDocs, RixSheets, RixSlides, PDF Editor, and Markdown Studio: • Accuracy & Due Diligence: Generative AI may produce inaccurate, incomplete, or fictitious information ('hallucinations'). You are responsible for reviewing and verifying all AI-generated content before relying on it for legal, financial, medical, or life-critical decisions. • Attribution & Academic Integrity: Adhere to applicable institutional policies regarding AI authorship disclosures in academic, journalistic, or legal documents. • Third-Party LLM Compliance: When providing your own API keys (OpenAI, Anthropic, Google, DeepSeek), your prompt submissions are additionally subject to the respective provider's terms of service and usage policies.

4. Fair Use & Rate Limiting

To maintain high service availability and sub-second latency for all global subscribers: • Automated scraping, programmatic bot flooding, or running scripted stress tests against Rixoffice endpoints without prior authorization is strictly prohibited. • Unusually high prompt volumes that degrade server performance may be temporarily throttled or queued. • Multi-seat accounts must obtain appropriate Enterprise licenses rather than sharing individual single-user credentials across organizations.

5. Enforcement & Violations

We respect document privacy and do NOT passively inspect your private files. However, if abuse, illegal activity, or system degradation is detected: • We reserve the right to issue warnings, throttle API access, or suspend offending accounts. • Severe violations involving criminal activity or fraud will result in permanent termination of licenses and will be reported to appropriate law enforcement authorities.

6. Reporting Violations

If you suspect that Rixoffice software or services are being abused in violation of this policy, please notify our security team immediately at abuse@rixcart.com or security@rixcart.com.
